Terms & Conditions

Fern Photography will always do our best to fulfil your needs and meet your goals, but sometimes it is best to have a few simple things written down so that we all know what is what, who should do what and what happens if stuff goes wrong. We want what’s best for the relationship between both parties, now and in the future.

What do we offer you?

Fern Photography, that is everyone who works for us, has the experience and ability to perform the services you need from us. We will be professional and timely when conducting our service. On top of this we will also maintain the confidentiality of any information that you give us. We do guarantee that the quality of our work is always to our highest standard but we don’t guarantee that Matt and Dan will attend all weddings together. Either Matt or Dan will be your lead photographer at weddings, we employ associate photographers to act as secondary photographers where one of either Matt or Dan can’t attend. Our associates have been hand picked by us for their skills in photography, their glowing personalities and their attention to customer service.

Style and design

We create photographs for which the look-and-feel is in the style displayed in our past body of work. We describe it as a natural style, that is to say that the images are captured, coloured and toned to resemble real life scenes both in colour and black and white versions. We don’t offer a service where we replicate other photographer’s styles or a look and feel that is outside the scope of our usual way of photographing a wedding.

The images

We offer up to 500 images that meet our quality criteria. All images will be edited jpegs and at the full camera resolution, excluding cropped photos for artistic purposes where the highest resolution possible is given. No watermarks are applied to the images you receive. No specific image can be guaranteed (such as, but not limited to, formals, first dance, first kiss etc.) We do not provide our original negatives (RAW files); this is not negotiable. We will store the negatives of your processed images for 1 year. You should also store the photographs safely as we are not required to keep them or provide any negatives or source files that we used in making them.

If you choose a wedding album then there are a few things that it’s helpful to be clear about because once it’s printed, it’s permanent. The albums are handmade, often using natural materials and dyes. There can be colour variations between our samples and your album. This is also true for the images in the album compared to images on a screen. We cannot guarantee exact matches of colours and/or textures and an album can’t be returned because of those differences. You make the final decision on materials and colours before going to print therefore we won’t send an album to be made without that consent. All products or options must be paid for before we send the design to print. Any changes/upgrades should be confirmed in writing and be paid for before production begins.
We know it can be tough to decide on an album’s images and design so we have a few guidelines that must be followed to ensure that everyone is clear about the process.
  • We allow up to 90 days to make the final decision on your album’s design from receipt of the first draft.
  • After 90 days: if a final draft has not been approved a £25 charge will be applied every 7 days until a final draft is agreed.
  • After 270 days: if a final draft has not been approved you forfeit the album and any monies paid towards it in lieu of the work we have already done towards the album.

Travel expenses

We aim to keep costs down but on occasions, where necessary, we reserve the right to charge for travel costs at 55 pence per mile. This will only be for the purposes of visiting locations that are directly related to your photography (travel to venues, parking costs etc…). We will always notify you in writing and agree the costs of all travel expenses before travel takes place. We will also need to be compensated for travel before the journey takes place.

When we receive your final payment, copyright is automatically assigned as follows: We own the copyright to the images. We will give you a copy of all the processed images and license those images to you for your personal use only.

What does this mean?

You and others may:
  • Display the images on the internet and social media (not commercially)
  • Share the images with friends and family (they are also bound by the terms of this license)
  • Print photos at any print shop
You and others may not:
  • Substantially change the photographs in either tone, colour or composition
  • Sell your photographs to anyone else,
  • Use the images in an advertising, marketing or commercial capacity without our agreement.

Offers and sales

We occasionally run offers on our services at wedding fairs or in conjunction with our partner vendors. We don’t stack/combine offers nor do we apply offers retroactively.
